DESCRIPTION This study-unit is intended to help participants develop an understanding of the appraisal, retention and accession processes within archival environments. The theoretical basis of the three processes will be discussed and through this participants are expected to acquire an in-depth understanding of the different theories, philosophical basis and practical functioning of the three important processes. This will be supplemented through a hands on exercise whereby students will be trained in the auditing of records management settings and on how to devise retention policies and procedures. These will also be framed in view of the eventual opening of such records to public scrutiny.

Study-Unit Aims:

This unit aims to help participants understand the importance of accessions, appraisal and retention processes in the records management work flow. It will allow participants to apply the different theoretical frameworks in real life situations through collaboration with government or private institutions that have similar processes in place. It also prepares participants to fully comprehend the differences, similarities and overlapping aspects of records and archives management and the shift in the positioning of such processes due to the digital disruption.

Learning Outcomes:

1. Knowledge & Understanding
By the end of the study-unit the student will be able to:

- describe the core theoretical basis of appraisal, retention and accessions processes;
- demonstrate and define how these concepts developed over the last few decades;
- apply the different schools of appraisal to real life records work environments;
- develop accession and retention policies;
- describe the way these processes can be integrated into the strategic and procedural work flows of organizations;
- Illustrate the current and future challenges that these processes face, especially in view of the changing formats.

2. Skills
By the end of the study-unit the student will be able to:

- apply the main theories of appraisal in order to analyze current records management systems;
- apply research findings in records and archives management to assess local and international challenges in the fields appraisal, retention and accession practices;
- debate the way the new challenges to these processes are being tackled locally and abroad.
