Rules regulating the award of travel grants

Travel Grant is a subsidy to offset a part of the expenditure on study related travel and cannot be understood as full compensation for all travel expenses.

The aim of the Travel Grants scheme is to subsidise the expenses incurred on the flight ticket.   Travel grants are aimed to support individuals who at the time in which the visit takes place are actually registered University students. 

It shall be the students’ responsibility to ensure that the application form is submitted by not later not later than the 31st October 2024.  In the case that the return from the visit is later than the 31st October 2024, the application should be submitted before departure.

Acceptance for visits and other study programmes abroad does NOT imply the provision of financial assistance by the University.

Before commencing the application form it is important to have the following documents at hand, saved as PDF or JPG format.

  1. Flight ticket receipt (jpg/ pdf)
  2. Official Programme/  short description of activities to be done during visit (jpg/ pdf)
  3. Confirmation Letter from receiving institution/organisation (jpg/ pdf)
  4. Other Financial documentation (include receipts for expenses incurred for transport/ board/ lodging etc) (jpg/ pdf)
  5. Bank details which will be used for reimbursement purposes if grant is awarded (Bank Name and IBAN Number)
  6. The Travel Grant Recommendation Form should be downloaded and handed to the Director/ Head of Department for their endorsement .

 The selection criteria for awarding grants are:

  1. The visit for which the application is submitted must be related to the applicant’s studies, no grants are awarded to applicants travelling on business/ leisure or other activities not related to their academic studies. However students travelling to do some form of voluntary- community work would also be supported.
  2. Travel Grants will not be made available to students who travel on behalf of officially recognised Student Societies.  Such funding should be made available from the relative Student Society, which may benefit from a separate scheme.
  3. First time applicants may be given priority over students who have previously been awarded a Travel Grant. Multiple awards during a student’s stay at University may be made only if funds permit.
  4. A good recommendation by the Head of Department must be submitted (in case of voluntary-community work, recommendation may also be made by the Pro-Rector)
  5. No awards to students that may receive alternative assistance from Erasmus Grants.
  6. Applicants who terminated their studies at University are not eligible for a travel award.
  7. Late applications will not be considered.

Application 

  1. In the case of applicants travelling on group visits, which should be sponsored by a member of the academic staff, each student must fill in an individual application on the prescribed forms. Copies of official invitations, programmes and formal agreements are to be attached.
  2. Applications in respect of Traineeships and Clerkships have to be accompanied by the necessary documentation on the visit.
  3. Students Travelling on IAESTE and other long-term course/traineeships are also required to provide official information (including all relevant details of such trips).  All IAESTE applicants should always produce a fully completed Form ‘O’, together with the acceptance/confirmation note as Documentary Confirmation of the visit.
  4. MD and Health Science students on clerkships are to produce a copy of their card of acceptance from their hosting Institution for verification.
  5. Students receiving remuneration for their services abroad should also provide official information regarding income (or equivalent tax rates) to which they may have been subjected.
  6. Applicants must make their own arrangements for the visit and ensure that they have enough money to pay for their stay.
  7. Applications are vetted by a Committee, which includes student representation, whose decision shall be final.
  8. Any Communications regarding this application form should be addressed to the Student Affairs Committee.

Cancellation
Applicants cancelling their visit are to inform the Student Affairs Committee.  Cancellation must be sent to sas@um.edu.mt

Rules regulating the award of grants to Senate-recognised student societies

The University of Malta awards Grant to Student Societies as a limited source of Financial Aid to sponsor Senate-recognised Student Societies. The Students Affairs Committee administers the funds for Grants to Societies, where two student representatives form part of the Committee. It should be borne in mind that the Grant is only intended as a form of assistance and cannot cover all the expenses incurred by any society.

The aim of the Grant is to support the various associations in organising academic, socio-cultural, training, educational and other related activities among University students.

Financial Aid is limited to officially Senate recognised Student Societies of the University of Malta.

Applicant societies are required to provide supplementary details about their financial position at the time of application on the application form, together with official bank statements. Audited accounts shall also be presented. Student Associations must justify their application for funds based on their projects and financial planning.  

Applications must be accompanied by the following documents (PDF Version since they should be attached in the online application):

  1. copy of Official Senate recognition letter (if recognition was obtained over the past two years, or if the association has not applied for grants during the past 5 years)
  2. list of Committee members
  3. updated version of Statute
  4. calendar (dated list) of activities for the previous year
  5. calendar (dated list) of projected activities
  6. balance sheet showing the organisation's present financial situation
  7. projected income and expenditure accounts
  8. auditor's report (compulsory if turnover is more than EUR 23,000) (If Auditor's report is in printed format, a hard copy may be sent by post to Student Advisory Services, Gateway Building, University of Malta, Msida by the closing date.)
